- Parent/guardian details — name, email address, phone number
- Child details — name, date of birth, and emergency contact information
- Medical information about your child (allergies, conditions, medications) — this is special category data under UK GDPR and is handled with additional care
- Booking and payment records
3. How we use your information
We use your information to manage bookings, keep children safe during sessions, communicate with you about your bookings, and meet our legal and safeguarding obligations. Coaches are given access to a child's medical and emergency information only for the sessions that child is attending.
4. Lawful basis
We process personal data on the basis of contract (to deliver the sessions you book), legitimate interests (to run our coaching service), and, for medical data, to protect the vital interests and safety of your child.
5. Payments
Card payments are processed securely by Stripe. We do not store your card details. Where you pay by bank transfer, we record only your booking reference and payment status.
6. Data sharing
We do not sell your data. We share it only with service providers who help us operate (such as our hosting, email and payment providers), and where required by law or to protect a child.
7. Retention
We keep personal data only as long as necessary for the purposes above and to meet our legal obligations, after which it is securely deleted.
